HubSpot for Museums

Hydro sets up HubSpot for museum education, events and visitor teams. Then we help them run it.

A museum’s website has a lot of jobs. Visitors need to buy a ticket for a time slot. A teacher needs to book a field trip without picking up the phone. The events team needs every new program on the calendar the day it is announced. Most of what we know about doing this on HubSpot comes from our work with the Museum of Tolerance.

What we do for museums

Strategy & Planning

We map a museum’s audiences, from visitors and members to educators, school groups and first responders. Then we plan the contact strategy and campaigns for each.

Onboarding & Implementation

We set up HubSpot around how the education, events and visitor teams work, with the properties, pipelines and permissions each one needs.

Events & Ticketing

We connect ticketing platforms like Eventbrite to HubSpot. Event calendars and attendee records update on their own.

Program Booking & Registration

We build the booking forms, workflows and pipelines behind field trips, school programs and professional learning.

Content & Campaigns

We build exhibit and program pages, newsletters and campaigns across email, social, paid media and Google Ad Grants. We also optimize content for AI search.

Reporting, Training & Support

We build custom dashboards and train staff to run what we set up. Ongoing support runs on a monthly retainer.

The Museum of Tolerance

The Museum of Tolerance opened in Los Angeles in February 1993. Its interactive exhibits ask visitors to confront bigotry, antisemitism and hate. They also teach the history of the Holocaust and what it means today. More than 8 million people have come through its doors. Five million students and 200,000 adults have taken part in its programs.

The museum also travels. The Mobile Museums of Tolerance bring its exhibits and programs to schools and communities in California, Florida, Illinois, Massachusetts and New York. A sister museum, the Museum of Tolerance Jerusalem, holds exhibitions and runs education programs in Israel.

Hydro runs the museum’s HubSpot website, email and Education Hub, including the section for the Mobile Museums of Tolerance.

Events and ticketing

The museum moved its events and general admission to Eventbrite. Hydro built a custom integration between Eventbrite and HubSpot. When the team publishes an event, it shows up on the site’s calendar, homepage and menu within seconds. Visitors buy tickets on the page without leaving the site.

Ticket buyers are added to HubSpot with the events they bought tickets for. The team can use that history to invite people back.

The museum promoted 113 events on the site’s calendar in 2025 and 2026.

General admission is sold in timed slots. There are 587 of them on sale through Eventbrite.

Since September 2025, 3,225 event tickets have been sold through GoFundMe Pro.

The Education Hub

The museum runs programs for teachers, students and law enforcement. Before 2026, information on those programs was spread across an old development site and a separate Weebly site. In 2026 Hydro built one HubSpot site for every education program the museum runs, at home in Los Angeles and on the road.

The Education Hub is organized around three audiences: educators, students in grades 5 through 12 and first responders. It has a section for the Mobile Museums of Tolerance, with programs listed by state. It also holds the museum’s Children of the Holocaust archive and profiles of 32 survivors from its Witness Theater program.

Field trips and education programs

Teachers, schools and law enforcement agencies book programs from one page. It asks who the program is for and opens the matching form with the program already filled in. School requests start with the state, then ask about the class.

Every request lands in HubSpot for the education team to confirm. Automated emails go out at each step. When a session fills up, people can join a waitlist. After a program, the team has three evaluation surveys ready to send.

Hydro also built a custom integration between HubSpot and Articulate Reach 360, the museum’s online learning platform. When an educator signs up for a course on the Hub, HubSpot creates their Reach 360 account and enrolls them through the Reach API. When they finish, Reach sends the completion back to HubSpot. Each course is saved to the educator’s record with their score and completion date. Their status moves from enrolled to active learner to alumni as they work through the program. In October 2026 we trained the museum’s staff to run the whole system.

04

Content and outreach

We build the museum’s exhibit, program and event pages, along with its newsletters and teacher resources. Upcoming events appear on the homepage automatically, next to the museum’s current exhibits.

Hydro works with the museum’s team on the strategy, planning and management of its Google Ad Grants campaigns. The ads send people to landing pages built to grow the museum’s email list.
